Manage members and roles
Inspect license capacity, add members, and choose the access each person needs.
Use organization membership for people who need organization-wide access. By default, each new organization member also becomes a Team Member in every project; use project membership when your organization has turned off that default or when you need to make someone a Team Lead.
Time: About 3 minutes per person.
- Create the organization and project first. A person must have an alterac.ai account with a confirmed email and completed two-factor setup before you can add them as a member.
- Organization owners and admins manage organization members. Organization owners are the only people who can assign or change the Owner role.
- Organization owners, organization admins, and project leads manage members of a project they can access.
- The organization's license must be active and have capacity for another person. Current members and any existing pending-access entries both use capacity.
Open the organization, then select Members. The Licenses section uses one capacity meter to compare licenses in use with the allocation. Its accessible description includes:
- Assigned licenses used by accepted members.
- Reserved licenses held by pending-access entries.
- Active licenses that can still be assigned.
- The total Allocation, expiration date, and organization time zone.
Full means every license is assigned or reserved. Over-allocated means current assignments and reservations exceed a later-reduced allocation; alterac.ai keeps existing people and pending-access entries in place but prevents another member from being added. Organization owners and admins can remove members or pending-access entries. To purchase more licenses, contact us at [email protected]. Contact platform support when the allocation or expiration must change.
Standing platform support access is separate from customer membership, does not appear in the member table, and does not consume a license. When platform support opens an organization through the protected administration workspace, a distinct support-context banner identifies that access.
- Open the organization, then select Members.
- Enter the person's account email address.
- Choose Member or Admin. An owner can also choose Owner.
- Select Add member.
This adds an existing eligible account and grants organization access immediately. If the email is not an eligible existing account, the member cannot be added. Existing pending-access entries appear in the same member table and can be removed; adding the matching existing account converts that entry into membership. If license capacity is full, remove a member or pending-access entry, or contact us at [email protected] to purchase more licenses before trying again. Lowering an allocation below current use does not remove anyone, but it prevents another member from being added.
If the organization licenses expire, browser deep links move to a blocked-access page inside the normal dashboard shell instead of showing organization content. Contact us at [email protected] to reactivate licenses and restore access. Existing memberships and project state remain in place; the blocked page checks again automatically and returns to the requested organization page after reactivation.
By default, the new organization member gets Team Member access to every project. Organization owners and admins can turn off this automatic project access in organization settings. When it is turned off, add people to the individual projects they need instead. To make an automatically added Team Member into a Team Lead, change their role from that project's Members page.
This setting is checked only when you add a Member to the organization. Turning it on does not add current organization members to projects, and turning it off does not remove any project access. Organization Owners and Admins continue to use inherited access and are not added as separate project members.
- Open the project, then select Members.
- In Organization members, select one or more eligible organization members.
- Choose Team Member or Team Lead.
- Select Add member.
Project membership starts from the organization member list. Use it after automatic project access is turned off, or to change an automatically added Team Member to a Team Lead. Organization owners and admins already have inherited project access, so they are not added as separate project members.
In the relevant Members table, choose a new role for a person or select the remove action.
- You cannot change or remove your own membership from this screen.
- An admin cannot change or remove an owner. An owner can manage all roles, but the last organization owner cannot be removed or changed to another role.
- Removing someone from an organization also removes their direct project memberships in that organization. Removing someone from a project removes only that direct project membership.
- A role change or removal can clear task assignments that no longer have valid project access.
